16.15 I have entered my TCC number. What's my next step?

  1. To ensure you have generated a 1099 for every file that required a 1099 throughout the year, DoubleTime has a report that will tell you if you have generated a 1099 or not for a file. To access this report, you will go to Modules and then Reports. The first report you can select is 1099-S. You will enter a closing date range, the closing agent name and then the closing file status. You will then click the ok button. The report that is generated is a report that will show you the closing file number, the closing date, the sellers name and address, their Tax ID or social security number, the property address and then you will see the Gross Proceeds or if the 1099 has not yet been created for that file you will see a statement ‘No 1099 Entered’. This report will assist you to identify any 1099s that you have not yet generated inside DoubleTime.

16.16 Do I need a 1099 record for my transaction? How will I know that I need one?

The IRS Form 1099-S reports to the Internal Revenue Service (IRS) the sale or exchange of reportable real estate for each closing file. This form may be sent manually or electronically. For more information, please contact the IRS or browse to: http://www.irs.gov/instructions/i1099s/index.html.


16.17 I have a foreign seller and need to indicate this in DoubleTime?

There is not a way to necessarily indicate a foreign seller. However, when you are viewing a 1099 record, there is a checkbox option called ‘Foreign Seller’. The Foreign Seller check box indicates a foreign address and will format the address correctly.

Note: Checking this box does not indicate a foreign seller.


16.18 I have a foreign seller with a foreign address? How do I enter this in Double Time?

  1. From the 1099 module, highlight and click the view record button on the secondary row of buttons (2nd tool bar). Once the record is displayed, select the ‘Foreign Seller’ checkbox next to the transferor’s name. The foreign seller check box indicates a foreign address and will format the address correctly.

16.19 I have a foreign seller with a US address?

  1. From the 1099 module, highlight and click the view record button on the secondary row of buttons (2nd tool bar).
  2. Once the record is displayed, deselect the ‘Foreign Seller’ check box next to the transferor’s name. The reason this box needs to be unchecked is that a checkmark in the Foreign Seller check box indicates a foreign address.

16.20 My seller has a very long name that does not filter through to the 1099 in Double Time. How do I add the rest of the name?

  1. From the 1099 module, highlight and click the view record button on the secondary row of buttons (2nd tool bar).
  2. Once the record is displayed, enter the rest of the name in the Transferor’s name box. If the name still does not fit in this area, please contact the IRS to obtain the correct 1099-S form and file the record manually.

16.21 My seller has a very long address for the 1099-S record and I receive a message stating the property address will be truncated to the first 39 characters. Should I be concerned?

No, this meets the required format for the IRS program to accept your 1099 records. For further explanation, please contact the IRS: 1-866-455-7438.


16.22 I have updated the DoubleTime closing file with my seller information and it is not filtering through to my 1099-S record?

For each closing file in DoubleTime that requires a 1099, you must access the 1099 module and click Save when exiting. Saving is what actually creates the 1099 record for the file. Therefore, if you have completed the above process for a file and the updated information still does not appear, please delete the 1099 record and click save button when exiting.


16.23 What is the website address for IRS electronic filing?

16.24 I am unable to access the IRS website (https://fire.irs.gov). I get an error message. I can access other websites without a problem.

Please verify the website address that you are attempting to access. If that does not resolve the issue, please contact the IRS to find out if they are now accepting information returns or if they are experiencing technical difficulties with their website: 1-866-455-7438.


16.25 I forgot my user ID and password for the IRS website (https://fire.irs.gov). Do you have that information?

16.26 I have never logged onto the IRS website (https://fire.irs.gov)

16.27 What is the name of the 1099 file saved from DoubleTime?

The default file name is: IRSTAX_2014.txt


16.28 Where is the 1099 file saved to on my computer (or default location)?

The default location of the IRSTAX file is: C:\Program Files\The Fund\DoubleTime. If you cannot locate your IRSTAX file, go back thru the Efile wizard to recreate it.

Note: If you have a 64-bit Operating System, the default location may be: C:\Program Files(x86)\The Fund\DoubleTime


16.29 Previously, we were instructed to verify that we do not have duplicate closing agent names that may appear in the Year End Maintenance module as it may interfere with the IRSTAX file generated from Double Time. Is this still a necessary step? Why?

  1. This step may be necessary when you have a closing agent name in the list showing more than one. This could result in having 1099 records associated with each name.
  2. Access the 1099 Year End Maintenance module;
  3. Click the agent icon on the secondary row of buttons (2nd tool bar) 
  4. Under the Closing Agent Name column, delete the duplicate closing agent names by highlighting the name in the list and click the delete button on the right of this window.
  5. A 1099-S Closing Agent Association window will appear; please select a new closing agent name to associate the 1099 records for the deleted name.
